Manually adding notes to appointments can be tedious and easy to forget. Automating this process ensures important details are recorded instantly, keeping everything organized without extra effort.

To get started, select an appointment-based trigger to determine when the appointment note should be created. Common options include:

  • Appointment Status.
  • Customer Booked Appointment.
  • Inbound Webhook Trigger. (if integrating with external systems)

Click the “+” icon and search for and add Create Appointment Note action.

Appointment ID

If using an Inbound Webhook Trigger, provide the appointmentId and body.  If using an appointment-based trigger, there is no need to input an Appointment ID, as the system automatically links it to the relevant appointment.

📌NOTE: This field is required unless you're using an appointment-based trigger like Appointment Status or Customer Booked Appointment.

Add Note

Input the note manually or use Custom Values to pass information from webhook data dynamically. The appointment note cannot exceed 5000 characters.

Save Action

Click Save Action to confirm your changes.

Ensure that the workflow has both a trigger and an action before publishing. Click Publish and Save to activate the workflow.
